Who we are

The Sport Horse Vet Ltd is an ambulatory equine veterinary practice registered in England and Wales, company number 17023605. Veterinary services are provided by Stephanie Miller BVSc BSc (Hons) PgCert VPS CertAVP MRCVS, registered with the Royal College of Veterinary Surgeons under number 7069510.

We are the data controller for the personal information described on this page, and we are registered with the Information Commissioner’s Office under reference ZC191509.

What this page covers

This policy explains what happens to personal information you give us through this website, or when you contact us by telephone or email. Information held about you as a registered client, including your account and your horses’ clinical records, is covered by the practice’s client privacy notice, which is available on request. The terms on which veterinary services are provided are set out in our trading terms.

What we collect

When you use the enquiry form. Your name, email address, telephone number, and whatever you choose to write in the message. The form stores nothing on this website — it sends your enquiry straight to us by email and keeps no copy on the site or in its database.

When you contact us directly. Whatever is contained in your email, text message or telephone enquiry.

Automatically, when you visit. Our web host keeps standard server logs recording your IP address, the pages requested, the date and time, and your browser type. These are generated by the hosting platform for security and technical purposes.

We do not ask for financial details, health information about you, or any other sensitive personal information through this website.

Cookies and tracking

This website sets no tracking cookies. There is no analytics software, no advertising pixel, and no profiling of visitors of any kind. Nothing about your visit is measured, shared or sold.

The only thing this site stores in your browser is a small flag recording that you have dismissed the notice bar, so it does not reappear on every page. It is held in your browser’s own local storage, it contains no personal information, it is never sent to us or to anybody else, and clearing your browser data removes it.

Two external services are used to display the site correctly — Google Fonts, which supplies the typefaces, and Font Awesome, which supplies the icons. Loading these means your IP address is seen by those providers. Neither sets a cookie on this site.

Why we use your information

  • Answering your enquiry and arranging veterinary services. Taking steps at your request before entering into a contract, and our legitimate interests in responding to people who contact us.
  • Providing veterinary services and keeping the records we are professionally required to keep. Performance of a contract, and compliance with our legal and professional obligations.
  • Keeping the website secure and working properly. Our legitimate interests in protecting the site.

We do not sell your information, and we do not use it to send marketing unless you have asked us to.

Who else handles it

  • Hostinger — our web hosting provider, who operate the servers this site runs on.
  • Microsoft — our email is provided through Microsoft Outlook, so enquiries sit in that mailbox.
  • Google and Font Awesome — as described under cookies and tracking above.

Information may be stored on servers inside or outside the United Kingdom. Where it leaves the UK, it is protected by the safeguards required under UK data protection law.

Sharing in the course of your horse’s care

Some sharing is part of treating a horse properly rather than an optional extra:

  • Referral practices and hospitals. Where a case is referred on, the clinical history and any imaging go with it, so the receiving vet is not starting from nothing.
  • Another veterinary surgeon providing cover. Where another vet attends your horse on our behalf, they are given what they need to treat it safely and to continue its care.
  • Laboratories. Samples are sent for analysis with the reference details needed to match the result back to the horse.
  • Your insurer. Where you are making a claim, we provide the clinical information the insurer requires to assess it.

We do not sell or rent your information to anybody, and we never share it for marketing purposes.

Beyond the above, we will disclose information only where we are required to by law or by a professional obligation — for example to the Royal College of Veterinary Surgeons, or on a court order. Where an account falls into default we may pass account information to a debt recovery agency or to our legal advisers.

Links to other websites

This site links to organisations such as the Information Commissioner’s Office and the professional bodies we belong to. We are not responsible for how those sites handle your information, and we would encourage you to read their own policies. The same applies in reverse — if you reached us through somebody else’s website, their practices are theirs, not ours.

How long we keep it

Enquiries that do not lead to us working together are deleted once they are no longer needed, normally within twelve months. Where you become a client, clinical and account records are kept for the period required by our professional and legal obligations, which for veterinary records is a minimum of seven years and often longer. Server logs are held for a short period by our host.

Your rights

Under UK data protection law you have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to have it transferred to another provider. Some of these rights are limited where we are legally or professionally required to keep records.

You may also ask us to send a copy of your horse’s clinical records to another veterinary practice, which is worth doing if you move. We will deal with the request within a reasonable period and may charge a reasonable fee for it.

If your contact details change, or anything we hold about you is wrong or out of date, please tell us so we can correct it. Getting hold of you quickly matters more in this job than in most.

To exercise any of these rights, contact us using the details above. We will respond within one month.

Complaints

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, by telephone on 0303 123 1113, or by writing to Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF. We would ask that you raise it with us first, so we have the chance to put it right.

We may update this policy from time to time. The date at the top of this page shows when it was last changed.

Opening hours & emergencies

Opening hours

Normal hours of business are between 9am and 5pm.

Out of hours and emergencies

We aim to provide an emergency service outside our normal working hours, 365 days a year. Although our Clinical Director, Stephanie Miller, aims to cover all equine emergencies personally, owing to the small scale of the practice there will be times when this isn’t possible. Accordingly, from time to time out-of-hours and/or emergency cover may be provided by Gillivervets. Gillivervets is a trading name of VetPartners Practices Limited, Company No. 10084952.

Emergency visits incur an out-of-hours surcharge in addition to the usual visit fee. We reserve the right to request part or full payment before attending an out-of-hours call.

If Gillivervets attend, you will be invoiced by The Sport Horse Vet Ltd in the usual way. In the interests of your equine, clinical records relating to your equine may be shared with Gillivervets, VetPartners Practices Limited, Company No. 10084952.
